 The Project Coordinator will proactively evaluate the ventures Charity Care services, and identify operational discrepancies ensuring pharmacy expertise through the maintenance of workflow and audit processes. Discrepancies will be identified through data analysis using internal databases (i.e., APCS, ScriptPro) or other external vendor software.

The Project Coordinator will set annual performance goals and generate audits to identify gaps and competencies of direct reports. Cross-system queries will be created to identify both pharmacy benefit and operational performance improvement initiatives. The Coordinator will work with the UH Meds team, vendors, and other stakeholders to adjust individual systems and operational performance to achieve the department's strategic goals.

Best practices for maintaining the pharmacy benefit will be identified and developed to ensure the organization is upholding bulk replenishment standards and growing the success of the department. The Coordinator will assist in performance-based reporting and auditing.

The Coordinator will provide leadership through appeal status reporting and compliance improvement recommendations. A dashboard summary of all performance and regulatory reports and recommendations will be presented to departmental leadership and appropriate UHHS System committees.

ESSENTIAL DUTIES

The essential duties of the Coordinator include but are not limited to the following:

1. Coordinates activities of enterprise-wide projects (45%)

2. Liaisons with other UH departments and vendors to coordinate and support department systems including but, not limited to support upgrades, testing, and change control. Troubleshoot and resolve issues as appropriate (35%)

3. Acts as Subject Matter expert specific to UHHS systems and enterprise-wide processes (20%)

 

KEY RESPONSIBILITIES

The responsibilities of the Coordinator include but are not limited to the following:

Customer Service:

• Provide information supporting outpatient ventures pharmacy patients

• Act as a ventures pharmacy benefit expert

• Develop and sustain routine communication channels with the billing, pharmacy support, and medical information management departments around the ventures pharmacy benefit.

• Work with inter- and extra-departmental stakeholders to ensure clarity, consistency and sustainability within and throughout the ventures pharmacy.

Pharmacy Benefit Programs and Operational Integrity:

• Perform operational and performance analysis and reporting in order to shape, grow, expand, and define the success of patient engagement. Analytical support can include the following areas: Process analysis, adjustment analysis, and an operational workflow analysis.

• Presentation and communication skills are equally important to analytical skills for this role. The Coordinator is required to have at least an intermediate skill-level for Microsoft Excel.

• Utilize end-to-end pharmacy process and employee performance analysis to uncover operational discrepancies.

• Develop a performance improvement plan that will identify solutions to process and workflow gaps

• Develop Key Performance Indicators(KPIs) to uphold operational integrity

• Proactively monitor standards, payer, and state guidelines and make changes as required

• Report out of audit findings and results to stakeholders on a routine basis

 

Business Intelligence/Data Access:

• Create cross-system reports to improve ventures pharmacy benefit initiatives

• Leverage capabilities of cross-system reporting to identify all performance discrepancies

• Prepare performance analysis reports for departmental leadership and staff

• Utilize internal and external software to identify growth and performance opportunities

• Initiate, extract, and analyze data elements to identify potential performance improvement and cost savings initiatives

 

SKILLS AND ATTRIBUTES

The Coordinator should demonstrate or be willing to learn the following skills and attributes:

• Demonstrate or willingness and ability to learn aspects of retail pharmacy patient engagement (pharmacy accreditation guidelines, customer service, claim processing)

• Experience in data collection using vendor software and/or internal systems

• Skilled in compiling large amounts of data into innovative presentations

• Ability to research complex coding and regulatory requirements

• Experienced in developing cross-system queries

• Skilled in managing data source integration

• Experience in synchronizing and modifying large data sets

• Must possess and demonstrate excellent oral and written communication skills; leadership skills; self-initiative, innovation, and collaborative skills; analytical and organizational skills

POSITION QUALIFICATIONS

• Requires Bachelor's degree and 5-7 years of work experience in data analysis and planning, patient engagement, health care administration, or patient engagement management /analysis; or an equivalent combination of education and experience.

 

DESIRED EXPERIENCE

• Proficiency in utilization of pertinent computer software (i.e. Word, Excel, PowerPoint, etc.)

• Demonstrated proficiency with EMR software or at least willing to be trained

• Knowledgeable in database collection software

• Pharmacy Technician experience helpful

• Operation Management
