Administrative Coordinator Individual Giving - Keystone Symposia on Molecular and Cellular Biology

Keystone Symposia develops and produces conferences for the top biology researchers in the world. Being a not-for-profit organization, Fund Raising is essen tial to the business. The Administrative Coordinator-Individual Giving will be responsible for providing administrative, prospect research, event fulfillment and fundraising database support to the Individual Giving Fund Raising Department. Additionally, this position plays a critical role in donor cultivation and our stewardship effort. The pay for this position is $19.00 per hour with outstanding full-time benefits including, 4 weeks of vacation, reasonable rates for Health, Dental, Vision, Life/Disability Insurance, Company match for 401K, sick time, and Holidays off.

ESSENTIAL SKILLS REQUIRED: Ability to manage multiple projects, with strong attention to detail and deadlines, is essential. In addition, the Administrative Coordinator must demonstrate excellent interpersonal skills to work effectively with Keystone Symposia staff, donors, prospects, and external contacts. Represents Keystone Symposia in a professional manner at all times. Also essential is the ability to efficiently use online prospect research tools to generate vitally important information for the development function. Familiarity with fundraising databases is strongly preferred. Specific duties and responsibilities will include, but are not limited to the following and may be subject to change: Assist with planning and drive execution of annual campaign. Work with other team members to manage donor database through accurate and thorough gift entry, pledge reminders, acknowledgements, and reporting. Support major gifts work through research, prospect identification and support of stew ardship activities. Works with the Communications team to develop consistent and appropriate messaging for donor appeals and stewardship pieces, including the direct mail ask, thank you letters and scripts Ensures all individual donor recognition commitments are fulfilled. Assist Director with all donor events. Maintain accurate registration record, produce nametags, banners and other items needed for on-site location. Develop, proof, and produce all materials related to events (invitations, nametags, etc.). Build registration forms if needed. Assist with logistics for space, food, supplies, audiovisual equipment, travel signage, decor, etc. Track all event RSVP's Prepare all day of event materials and assist with on-site production and post-event details. Close out events and conduct post-event debriefs as well as update database with attendee information.

Requirements: An Associates degree (A.A.) and one to three years of similar or related experience is required. Experience in annual fund and/or event fundraising a plus. Should have strong communication, writing, and research skills and be proficient in using prospect research tools on the web. Must be highly detail-oriented and be able to work independently and with good judgment. Ideal candidates will be flexible generalists with strong analytic and writing skills, and a commitment to relationship-based fundraising practices. Ability to read and write about scientific and technological topics is a plus but not required.
