Job Summary:

The Medical Office Assistant (MOA) is an individual who, with appropriate experience, can enhance the clinical and clerical functions of a satellite practice. This individual will have an opportunity to have direct patient care
responsibilities in addition to complementing those skills with providing proficient clerical organization. Provides patient-friendly service efficiently and confidentially. Additional responsibilities include:

 

  • Responsible for chart preparation. Reviews the patient orders and makes sure that all information is available and/or scanned in EPIC for the following days' appointment.
  • Maintains a system to follow x-ray and lab requests in work queue such that they can be followed to determine if reports have been received and those results are either available in paper form or scanned into EPIC as appropriate.
  •  Works in conjunction with Billing Department to ensure that tests that have been ordered are reflective of the specifications of their insurance company and the appropriate referrals or authorizations have been obtained.
  • Responsible for making sure that all patient-related information has been reviewed with the patient either by a return visit or by the physician telephoning the patient.
  • Preparing the sign-in area, placing a folder of items for physician review on physician desk, completing and documenting Quality Controls at the start of each day etc.
  • Responsible for completion of form letters, or use EPIC letters function for return to work, release from work, to obtain or release medical records, and other specific letters as requested.
  • Responsible to assist with patient database updates.
  • Responsible for sending written correspondence for appointment changes and no-show letters to patients.
  • Responsible for reviewing the next days' patient schedule to make sure that the schedule is appropriate regarding the time allotted to each patient type. (i.e. new patients have been allocated additional time, etc.)
  • Responsible for processing all schedule changes and communicating with physicians regarding schedules.
Minimum Qualifications:

Completion of an approved Medical Assistant or Medical Office Assistant program or one year experience directly related to the medical field; current CPR certification through American Heart Association or American Red Cross; excellent interpersonal and organizational skills required.
