GENERAL DESCRIPTION

Performs complex and responsible administrative support work in the Library department which requires the application of policies and procedures.  May perform activities such as coordinating, scheduling, or controlling specific activities related to support services. Performs other duties as assigned.

ESSENTIAL JOB FUNCTIONS

  • Performs various administrative and clerical functions necessary to support departmental goals
  • Serves as backup for other administrative staff as needed
  • Composes, types, and distributes routine correspondence
  • Reconciles revenue from multiple register drawers, credit/debit card machines, self-check stations, and coin boxes
  • Reconciles monthly statements of bank fees
  • Maintains up-to-date records of vendor relationships, service agreements, and purchasing contracts
  • Maintains filing system and records for the department
  • Assists with preparation and distribution of payroll for all library branches
  • Assists with supply ordering and delivery process
  • Participates in staff meetings and additional task forces, taking notes and preparing minutes as necessary
  • Creates documents, reports, procedures manuals, tables, and graphs as necessary
  • Assists with the hiring and onboarding process 
  • Coordinates use and maintenance of Library vehicles
  • Establishes and maintains effective working relationships with employees, vendors, customers, and the general public
  • Trains and coordinates the activities of system Couriers
  • Trains new employees on departmental procedures
  • Performs other duties as assigned

REQUIREMENTS/PREFERENCES

Education            

Required:   Education or experience equivalent to an Associate degree from an accredited college or university with major coursework in a related field, or combination of education, training, and experience that demonstrates the ability to perform the work described.

Experience

Preferred: One (1) or more years of experience in accounting, business, finance, or related field; customer service experience

Certifications/ Licenses

Must possess a valid Virginia driver's license and have a good driving record.

Knowledge, Skills and Abilities

  • Demonstrated knowledge of administrative practices, procedures, and office technology
  • Skill in the use of computers to include commonly used software programs such as Word, Excel, PowerPoint, and Adobe
  • Strong customer service experience and skills
  • Ability to learn and effectively use new software programs
  • Ability to develop and maintain effective working relationships with employees, customers, and the general public
  • Effective communication skills both verbally and in writing with a wide variety of staff and customers
  • Ability to maintain the confidentiality of sensitive information

Additional Requirements 

Subject to a complete criminal history and Child Protective Service background search with acceptable results. Must also be able to perform the job as described in the Physical and Environmental Demands section of this job description. May be subject to DMV driving record review as required by amount of work related driving, specified by support responsibilities. Evening and weekend work may be required.
